01 / YOUR PRICEBOOK

Catalog backup

Your material and labor rates, units, supplier, price date and notes. Use this as a review sheet or backup.

02 / YOUR SAVED ESTIMATES

Estimate lines

One row per saved estimate line with quantities, material and labor costs, plus the estimate totals and revision. These are estimates, not invoices or earned revenue.

03 / YOUR PURCHASE RECORDS

Orders & deliveries

Supplier, ordered and received quantities, entered costs and status. An order is a planned purchase, not proof of payment.

MANUAL QUICKBOOKS PRODUCT IMPORT

Prepare the catalog for your account.

This creates separate material and labor products for each positive rate. Rates are treated as purchase costs; selling prices stay blank. Material rows use Non-inventory and labor rows use Service. Check the unit shown in each description. No stock quantity or markup is assumed.

Use existing top-level account names with an appropriate type in QuickBooks; the importer does not support subaccounts. Review duplicates, tax settings and column mappings before import. Import availability and fields depend on your QuickBooks plan and region.

  1. Download the file and review its rows.
  2. Open QuickBooks Online’s product/service import and compare with the sample file available in your account.
  3. Map the columns, review potential matches and approve the import in QuickBooks.

Keep each record’s purpose clear.

The exported estimate and purchase-order CSVs are accounting review files, not guaranteed transaction import templates. Repeated estimate or order totals are reference fields; sum line totals only within the correct document. Project expense entries, purchase commitments and payments remain separate. Downloaded files can contain customer or supplier information; share them with the intended recipient.
